Boston Tutoring Agency Policy
Matching & Intake Processes
Based on information gathered from a general application form, the BTA matches prospective client
with the best available tutor. Once an initial match has been made, the BTA schedules an intake
meeting for the suggested tutor and prospective client. At the intake meeting, the client and
tutor are introduced. This meeting provides an opportunity to the client and tutor to discuss
relevant background information, learning goals, instructional style, scheduling, etc. The
information gathered from the intake meeting serves as a starting point for the creation of a
Personal Learning Plan (PLP) for the client. Both the client and the tutor have the right to
decline to work together for any reason.
Tutoring Location
The location of tutoring must be agreed upon by the tutor and the client and then approved by the
Director of the BTA. BTA tutors and clients meet at schools, colleges & universities, neutral
community locations, online via web-conferencing, and with special approval only, in clients’
homes. BTA tutors never meet or work with clients at tutors' homes.
Cost of Services
The BTA charges standard hourly rates that vary depending on the client’s specific needs, tutoring
location, preparation and travel required by the tutor, and subject. Tutors typically meet with
students for no more than 1 hour per session, unless otherwise agreed upon by the tutor and the
Payment
The BTA requires a non-refundable minimum payment of 2 sessions at the first meeting.
Following the first 2 sessions, BTA clients are billed on a monthly basis. Invoices are sent to
clients via email or regular mail on or around the last Monday of the month. Payment is due by the
1st of the following month. Fees are payable by check to the Boston Tutoring Agency.
Clients
are afforded a 10 day late payment grace period. Clients are charged a $15 late fee for payments
that are not received by the 10th of the month.
Canceling/Rescheduling
Cancellation and or rescheduling require a 48 hour notice. Clients are billed for all sessions
that are not cancelled or rescheduled 48 hours prior to previously scheduled appointments.
Rescheduling is not guaranteed.
Punctuality
BTA clients are afforded 15 minutes for lateness. BTA tutors are expected to wait no longer
than 15 minutes for late clients. It is the client’s responsibility to contact the tutor in
case of lateness. The scheduled tutoring time will not be adjusted for clients who arrive
late. If, for example, a client arrives 10 minutes late for a 60 minute session beginning at
4:00, the session will conclude as planned at 5:00. Clients who arrive late will be charged
be charged in full for the tutoring session.
